We are a Non- Smoking Property
Our Promise to you is that we never overbook our accommodation and once your booking is confirmed by us we guarantee your holiday, subject to the terms below, but equally we expect you to proceed with your holiday and pay your balance on time.
This Contract begins on confirmation of your holiday with a deposit.It is for short-term holiday rental only and is between Pollaughan Cottages on one part and the person making the booking in the other part, and is subject to the booking conditions herein which must be complied with but which may be reviewed from time to time. The party leader must be at least 18 years of age at the time of booking and the booking form must list all names of the party and also the ages of children.
The cottage will be ready from 4 pm so please do not arrive before this and ceases at 10 am on the day of departure. We commence the cleaning of the cottages at 10am and will need to access the cottage from this time, failure to vacate by 10am will be treated as a further days rental.
Bookings are CONFIRMED on receipt of a of non – refundable deposit of a minimum of 30% of the holiday cost if booking more than 12 weeks in advance.We reserve the right to vary this amount from time to time or if we feel the booking is risky. The full amount will be due on booking if the holiday start date is within12 weeks. The balance of the rental will be due for payment TWELVE CALENDAR WEEKS prior to the holiday commencement date, the due date of that balance will be on the booking summary sent on confirmation of the holiday.
Failure to pay by the due date on the booking summary is a breach of contract. In this event we reserve the right to cancel your booking and reopen the weeks for booking by a new party with no refund of your deposit.
No entry to properties will be allowed without payment, in full, being cleared beforehand. Once you have a confirmed booking, (for clarity when you have paid the deposit), you are responsible for the full rental cost even if you subsequently cancel.
Cancellations must be immediately notified to us by email. If you cancel before the 12 weeks balance payment date we will offer you an opportunity to pay the balance amount to remove our risk, in which case we will do all we can to relet your booking and if we are successful we will refund you the final letting price (which may be less than you paid) including the non refundable deposit element, less £100 administration fee. If you cancel and subsequently choose not to pay the balance when due and we are unable to re-let there will be no refunds under any circumstances and you will still be responsible for the full rental cost.
4. CANCELLATION INSURANCE
Cancellation Insurance is not compulsory but we strongly recommend such insurance to protect your booking against insurable eventualities.
VAT is included at the current rate but these prices are subject to change if the VAT rate alters.
The occupancy as stated in the cottages details is the maximum number of full size beds in the cottage. We are happy for one or two cots to be added on top of the occupancy rate free of charge and subject to space, but only for children less than 3 years old and sleeping in a cot.
If you would like to squeeze in an extra child on a mattress or camp bed please discuss with us, we try to be as accommodating as possible .
For insurance purposes we need to know the names of all members of the party and ages of children under 16. All share responsibility for the cottage, its contents and the behaviour of the members of the party. We understand that you may have friends and family visit for the day in which case you will be responsible for their behaviour and conduct. Please ensure they do NOT bring dogs and if they wish to use the facilities here the other staying visitors have priority.
7. FORCE MAJEURE
If for any reason we have to cancel your booking in advance due to circumstances beyond our control for example fire, flood, exceptional weather conditions, epidemics, destruction/damage to the property (“force majeure“) you will be refunded the full amount of the booking. If we have to terminate your holiday early for the above reasons you will be refunded part of the booking fee based on the time remaining of the booking. No additional compensation, expenses or costs will be payable by us.
We, Pollaughan Cottages, shall not be liable to you or your party for loss or damage to yourselves or your property regardless of how it occurs. You must take all necessary steps to protect and safeguard yourselves and personal property.
9. CARE OF THE PROPERTY
You are responsible for the property and its contents and are expected to take all reasonable care of its contents and décor in or on the property. You must leave them in the same state of repair and in the same clean and tidy condition at the end of your period of hire as it is at the beginning and leave the property clean and tidy, clear kitchen sinks and rubbish and recycling removed to their appropriate places.
Food and items left in the property will be disposed of. We appreciate accidents do happen and we don’t charge for the odd plate or glass but please report breakages or damage immediately so they can be replaced or fixed for your continued enjoyment. You may be liable for replacement or repair.You are legally bound to reimburse us for replacement, repair or extra cleaning costs. If you lose a key please let us know immediately so we can arrange the cutting of a new one, at your cost.
We reserve the right to request a damage/cleaning/tidying deposit of up to £250 on booking. We may apply this to new bookings and/or when more than two cottages are booked by one party.
You must not use the properties for any dangerous, offensive or noisy activities that may cause annoyance to the owner or other neighbouring properties including fireworks. The owners reserve the right to terminate your stay if you or members of your party are causing a nuisance to other guests or are not treating the property and other guests with due respect. This includes any maltreatment and/or provocation of the animals and wildlife at Pollaughan Farm.
11. BABY EQUIPMENT
Cots highchairs and toys are provided free of charge but can only be guaranteed if requested on the booking form. Please return toys to us cleaned and in good condition and re-sorted where necessary. They must only used by children appropriate to the age. We will remove outdoor toys if we feel they are being damaged and charge you for damaged and ruined toys.
12. MEALS and ANIMAL FEEDING
Due to our own family and farm commitments the home cooking and animal feeding cannot be guaranteed to be available at all times and is very much an add when we are able. Animal feeding is at your own risk and very young children must be accompanied.
We will very happily accept assistance dogs. Other than assistance dogs due to having our own pets and lots of wildlife here we do need to reserve a right to accept or not accept dogs at our own discretion so please check before booking. We have a dog agreement that must be signed at the time of booking if a dog is coming.
If you arrive with a dog, without confirming with us first, your contract with us will become void with no liability on our behalf to refund any monies, until the dog has been placed in local kennels or returned home.
